Would the change
pay for itself?
Put your estimates to the test. See the time a change could release, the cash costs it could remove and what it would cost to run.
Capacity and cash are different.
Establish how often the work occurs and how long it takes. Record the basis for each estimate.
List implementation, software, usage, training and ongoing support costs. Include the review and maintenance the new workflow needs.
Keep released staff time separate from avoided cash expense. Time saved does not automatically reduce payroll or create revenue.
Include quality, delays and risk where they can be assessed. State the assumptions and uncertainty.
Compare the full cost with the supported benefits. The result may justify a pilot, a different scope or no project.
Time released has value when it can be used for other work. A cash saving needs a cost that actually disappears or is avoided. Keep the assumptions visible when you compare options.
Use your own assumptions.
All amounts use CAD. Enter zero where a cost does not apply. Leave no field blank before calculating.
Assumptions and formulas
Monthly hours = weekly hours × 52 ÷ 12.
Capacity value = monthly hours × the hourly value entered.
Net monthly cash impact = actual monthly costs removed − monthly ongoing cost.
Simple cash payback = one-time cost ÷ positive net monthly cash impact.
Inputs stay constant. This excludes tax, financing, discounting, uncertainty and costs you did not enter. It does not establish that an implementation is feasible.
Use the result to ask a better question.
Test the assumptions with the people who own the work and the costs. A positive scenario is not evidence that an implementation will achieve it.
