Map the work
before you automate it.
Pick one task and follow it from start to finish. Record who does each step, which tools they use and what happens when something goes wrong.
Describe what happens today.
Write down the event that starts the work. Follow it through each person, tool and decision until the work is complete.
At each handoff, note what information is received, changed and passed on. Mark repeated entry, waiting and avoidable searching.
Record the unusual cases as well as the normal path. A useful automation must account for both.
A simple map is enough: Trigger → Input → Action → Review → Next tool → Completed work.
This map describes the current process. It does not yet prescribe an AI solution.

If something does not fit, it becomes an exception and a person decides.

Use the result to ask a better question.
Review the plan with the person who does the work. Check the exceptions before deciding which steps could be automated.
